Privacy Statement and Security Policy
This policy explains your rights as a customer and client of Kent Top Temps Ltd. These rights are set out by the Data Protection Act 1998 (the Act). It will cover what we do with your data and the Security measures in place to protect data we hold. It will also explain how to obtain a copy of any personal data we may hold about you.
The policy should be read in conjunction with the Data Protection Act.
1. Your Rights
Kent Top Temps Ltd is committed to compliance with the Act. We are required to do so by Law. We will take every precaution to protect your data. The following will apply when we process your personal data whether on paper of electronic form:
1.1 Your data will be processed with your knowledge and explained at registration.
1.2 Only the data that we actually need will be collected and processed.
1.3 Only those who need it in the job role they play will see your data.
1.4 Your data is retained only for as long as it is required.
1.5 Your data is accurate and is only used for the intended purpose.
1.6 Your data is protected from unauthorised or accidental disclosure.
1.7 Decisions made are on reliable and up to date data.
1.8 You will be provided with a copy of data we hold on you, upon request.
1.9 Disputes will be dealt with promptly.
The Act states that data should only be processed in accordance with the rights of an individual. These rights include

2. The personal data we hold
The personal data we will hold on you will be the documents required to:
Candidates
Check your identification, right to work in the UK, training certificates you hold in order to carryout a temporary placement, bank details for payment for weekly pay, contact details, references obtained and information gained from the Criminal Records Bureau where assignments work with vulnerable adults or vulnerable children. This policy should be read in conjunction with our Policy on Criminal Records Checks.
Clients
Contact details, environmental risk assessments, credit checks, references obtained and any other information to enable us to place the right candidate with you.
3. Storage of data
Your data is held at our head office at Commercial Services building, Gibson Drive, Kings Hill, West Malling, Kent ME19 4QG.
Your data is held in secure computer files, which have restricted access and/or in paper format, in locked cabinets. The office space we occupy is also locked via key code between the hours of 19.00 and 07.30 Monday to Friday and at weekends.
We have approved measures in place to stop unlawful access and disclosure.
4. How to apply for access to your data
You are entitled to see any data that we hold about you save for the exceptions as set out in the Act. You should contact us to request a copy of the data we hold. We are able to charge a reasonable administration fee. Requests should be made in writing. You will be asked to supply information to confirm your identity.
